Terms of Service

These terms are an agreement between you and tenanted.org, registered at 29 Alexandra Road, Peterborough, PE1 3DE (company number [company number]), who operate Tenanted ("we", "us"). By creating an account or using Tenanted you accept these terms. If you do not accept them, please do not use the service.

1. The service

Tenanted is a subscription web application for UK landlords. It lets you record properties and tenancies, track compliance items such as Gas Safety, EICR, EPC and Right to Rent with a traffic-light view, store documents, and message your tenants. Landlords can create guest portal accounts for their tenants.

Tenanted is a record-keeping and reminder tool. It is not legal, financial or tax advice, and it does not guarantee compliance with any statutory duty.

2. Your account

  • You must be 18 or over and provide accurate, current information.
  • You are responsible for keeping your password confidential and for everything done under your account.
  • Tell us promptly at [support@yourdomain.co.uk] if you suspect unauthorised access.
  • One account per landlord or business, unless we agree otherwise in writing.

3. Subscriptions, billing and cancellation

Current plans (prices include any applicable VAT unless stated otherwise):

  • Free — £0/month, 1 property, no tenant portal.
  • Starter — £9/month, up to 5 properties, tenant portal and messaging.
  • Growth — £19/month, up to 20 properties, priority reminders.
  • Agency — £39/month, unlimited properties and priority support.
  • Founding Member lifetime deal — a one-off £99 payment for the first 100 sign-ups, subject to its own published terms including the review pledge.
  • Paid plans start with a 14-day free trial. We will not charge you during the trial.
  • After the trial, your chosen plan renews automatically each month until you cancel. Payment is taken by Stripe on the renewal date using your saved payment method.
  • You can cancel at any time from the Billing page. Cancellation takes effect at the end of the current billing period and you keep access until then. We do not give partial refunds for unused time unless the law requires it.
  • Upgrades take effect immediately and are charged on a pro-rata basis. Downgrades take effect at the next renewal; if you then exceed the property limit of your new plan, the surplus properties become read-only rather than being deleted.
  • If a payment fails we will email you and may retry. If payment remains outstanding we may suspend or downgrade your account.
  • We may change prices with at least 30 days' notice by email. If you do not accept a change you can cancel before it takes effect.

Payments are processed by Stripe. Your use of Stripe checkout is also subject to Stripe's own terms.

4. Acceptable use

You must not:

  • Use Tenanted for anything unlawful, including discriminatory or harassing conduct towards tenants.
  • Upload material you have no right to share, or personal data about someone that you have no lawful basis to hold.
  • Use tenant contact details for marketing or any purpose unrelated to the tenancy.
  • Attempt to access another account's data, probe or disrupt the service, or bypass plan limits.
  • Upload malware, or content that is abusive, defamatory or obscene.
  • Resell or provide the service to third parties outside your own portfolio, except on the Agency plan for your own clients.

5. Your content and your legal duties

You keep ownership of everything you upload. You give us a limited licence to store, process and display that content so we can run the service for you.

You are solely responsible for the accuracy, legality and completeness of the property records, compliance dates, certificates and documents you enter. Reminders and traffic-light statuses are generated from the information you give us; we do not verify certificates and we are not responsible for missed deadlines, fines or enforcement action. Where you upload tenant personal data you act as the data controller for it and we act as your processor.

6. Tenant access

  • Tenant accounts are created by a landlord and exist to support that tenancy. Tenants may view their tenancy details, read-only compliance status for their property, documents shared with them, and messages with their landlord, and may upload their own documents such as identification.
  • Tenants cannot see other tenants, other properties, or any landlord's wider portfolio, and cannot edit compliance records.
  • A landlord can remove a tenant at any time, which immediately ends that tenant's access.
  • Tenants must not misuse the portal, impersonate anyone, or upload unlawful content.

7. Intellectual property

Tenanted, including its software, design, branding and compliance templates, belongs to tenanted.org and its licensors. We grant you a personal, non-exclusive, non-transferable right to use the service while your subscription is active. You must not copy, reverse-engineer or create derivative works from it.

8. Availability, warranties and liability

We work hard to keep Tenanted available but we do not promise uninterrupted or error-free service, and we may carry out maintenance. Except as expressly stated, the service is provided "as is" and we exclude all implied warranties to the extent the law allows.

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, or anything else that cannot lawfully be limited. Subject to that, we are not liable for lost profits, lost business, loss of goodwill, or indirect or consequential loss, or for fines or penalties arising from your compliance obligations. Our total liability in any 12-month period is limited to the fees you paid us in that period (or [£100] if you are on the Free plan).

If you use Tenanted as a consumer rather than in the course of business, your statutory rights are unaffected.

9. Termination

  • You may close your account at any time from your account settings, or by emailing [support@yourdomain.co.uk].
  • We may suspend or terminate your account for non-payment, a serious or repeated breach of these terms, or unlawful use — normally after notice and a chance to fix the problem, or immediately where the breach is serious.
  • On termination your access ends and, after a grace period of [30 days] in which you can export your data, we delete it in line with our Privacy Policy.
  • We may withdraw the service entirely with at least 60 days' notice and a pro-rata refund of prepaid fees.

10. Changes to these terms

We may update these terms. If a change materially affects you we will give at least 30 days' notice by email or in the app. Continuing to use Tenanted after that means you accept the new terms.

11. General

These terms are the whole agreement between us. If any part is found unenforceable, the rest continues to apply. We may transfer our rights to a group company or buyer of the business; you may not transfer yours without our consent. No one other than you and us has rights under these terms.

12. Governing law

These terms and any dispute arising from them are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
